Early Bird Catches the Worm:
It’s essential to start planning your event as early as possible. If your function is a large event (more than fifty people), you should start thinking about the details some four to six months in advance. If it’s a wedding (even a small one), you might want to start even earlier than that. The early bird does catch the worm, and many caterers, florists, photographers and celebrants will only take one booking per weekend. Other types of smaller functions, (say ten to twenty people), generally need at least a month or two to plan.
Money Matters:
Whether you’re planning a family wedding or celebration, or a corporate workshop or conference, you are likely to have a budget. Knowing your numbers will ensure your Nelson function doesn’t disappoint. You may not be a fan of spreadsheets, but they are an essential solution to help you create a budget and stick to it.
Secure your Venue:
An event without a venue is no event at all! It’s worth considering a venue that can offer several function room options. That way, if your guest list grows, you may be able to upgrade to a larger room. At Beachside Nelson, we have seven different function rooms to choose from. We can cater for any sized gathering, large or small. Our spaces are incredibly versatile and can be set up for various types of private or corporate functions.
Communication is Key:
Again, it doesn’t matter whether you are planning a private party or a work event do keep the channels of communication open. For private Nelson functions it’s often handy to enclose an RSVP card with your invitation. That way, you’ll be able to budget better. RSVP cards can also include a small section on dietary requirements, so none of your guests goes hungry.
If you’re planning a conference or workshop, think about using social media and other digital marketing tools to keep your attendees updated. For a public event, you could consider Eventbrite, Eventfinda or think about creating a Facebook Event. If it’s a closed corporate event, think about a private WhatsApp messenger group for communication.
Gather your Team:
Whatever type of Nelson function you’re planning, be realistic about your time and capabilities and get help where you might need it. For corporate functions and workshops assign responsibilities, like sourcing speakers, arranging printed event material and on the day registration. If it’s a private party or wedding, you’re not on your own! Remember your bridesmaids and best man will expect to be assigned tasks so they can help you out.
